1.     What file formats are supported?

Boole Server can protect any file and/or text. In particular it entirely supports all the most commonly used document formats such as:

  • MS-Office documents (doc, docx, xls, xlsx, ppt, pps, ppt, ...),
  • Open Office documents (odt, ods, odp, odf, odg)
  • PDF
  • Text and Text based formats (txt, csv, xml, html, ...)
  • Images (Jpeg, BMP, TIFF, GIF, ...)
  • Engineering design (dwg, dxf, dwf, ...)

 

2.     How does Boole client licensing work?

In order to provide a fully flexible solution that provides the appropriate level of functionality throughout  the customer sharing "network, there are three types of Client Access License available depending on the different types of functionality required by the user.

1. Desktop Client - Full security, sharing and policy setting features for the data sharer.

2. Agent - ability to cipher (limited sharing) and decipher files and text.

3. Agent Light - ability to decipher (only) files and text.

 

3.     Do I have to install anything to protect the data?

Yes. For document protection, you will need the Boole Desktop Client or Agent. This utility will allow authorized users to protect data which can then be shared with others.

 

4.     Does the recipient of the protected documents need to install client software?

Yes. The recipients of the document will also need to install Boole Desktop Client or Agent. This utility will allow authorized users to access the protected data.

 

5.     Will Boole Server require me to change my existing network infrastructure?

No! Boole Server is designed to integrate with all major infrastructure setups easily. There will be minimal integration required to be made by the IT team and virtually no change by the end-user.

 

6.     What impact will Boole Server have on my existing network utilization?

No impact at all. The data exchanged between the client and server is negligible (a few kilobytes). Furthermore, this traffic is not a continuous stream, but occurs only when documents are accessed.

 

7.     Once I protect a file, can I remove the protection later?

Yes. The owner or anyone who has "Full Control" privilege rights for the document can remove the file protection.

 

8.     What method of communication is used between the client and the Boole Server?  How do I ensure that my security is not compromised during this communication process?

A proprietary encryption technique is used for data management and connections between client and server.  Data transferred is strongly encrypted; as a result any intercepted data is impossible to access.

 

9.     What encryption standard is used for protection of data?

Boole Server uses industry leading encryption levels. Our algorithms provide 256 bit AES encryption, but Boole Server also uses a unique proprietary system that adds random 2048 bit keys to each individual file making it the most secure file sharing solution available.

 

10.  Can I share data with people outside of my organization?

Yes. Boole Server enables you to track and control data access and usage even when it is shared with people like Vendors, Business Partners, and Customers, who may not be part of your organization. This is one of the key features of the solution.

 

11.  Will Boole Server have access to my data?

No! Only the information owner or users who have "Full Control" privileges are able to access the protected data. Not even the IT administrator is able to access the data as it is constantly encrypted and protected.

 

12.  Does the data get stored centrally?

The protected data is available at the same location as where it was before it was protected. However, Boole Server also provides secure central storage for data if needed.

 

13.  Can Boole Server control distribution of data by CDs, USB drives, or email?

Yes, Boole Server can restrict the distribution via CDs, USB driver or email by applying the profile attached to the documents.

 

14.  Can Boole Server also secure distribution of data that is sent by USB drives, CD or email?

Yes, Boole Server provides the ability to secure the data and allow users to transfer by all those means. As the data is secured, it is safe to do so. Access to the data will only be granted when the file is used in the correct environment for Boole to authenticate the user and apply the latest policy.

 

15.  What differentiates Boole Server from other security systems?

  • Boole Server is not aligned to any specific format or application
  • Document rights are persistent and security travels with the data within and outside of the enterprise
  • Modification of usage rights can be applied remotely, without the need to resend the documents
  • Complete and real-time audit trails can be provided for all protected documents helping to provide compliance
  • User Management and Server Administration can be de-linked. Specific users can be assigned the rights to manage users in their department or unit while the server operation can be maintained by system administrators. This helps to reduce the dependency on IT teams, improves sensitive information security and quickly aligns security policies to business dynamics.
  • In addition, Boole Server has these features:
    • work on text in addition to files
    • securely stream information
    • work off-line
    • apply watermark (with anti-photo)
    • have collaboration tools (like file versioning)
    • share/protect entire directories and/or specific files

16.  What Operating Systems are supported by Boole Desktop Client or Agent?

Boole Desktop Client operates on all major versions of the Windows operating systems, whether 32 or 64 bit.

 

17.  What if I want to change the rights for a document after I have already sent it? Would I need to change the right and send the document again?

No. This is what makes Boole Server so useful and unique! If you need to modify the usage rights for users, to either give them new rights or reduce the permissible actions, all you have to do is change the rights on the document you have on your desktop/laptop client. The new rights will get automatically applied to the document, even to the copies that were distributed earlier.

From then onwards, whenever any person accesses the document or its copy, the new usage rights will be enforced by Boole Server.

 

18.  Does Boole Server prevent print screen / screen grabbing tools?

Yes, the Boole Desktop Client prevents any kind of screen grabbing tool like the Operating system Print Screen functionality as well as screen grabbing tools like MS Snip it / GoToMeeting / Camtasia from remotely displaying the content / document.

Boole can also prevent data capture using remote desktop sessions. Additionally, dynamically applied watermarking and "anti-photo" reading panes can help prevent loss of information through photography of the users screen.

 

19.   What if a user needs to work while travelling, is it possible to access a secured document offline?

In instances where a user requires access to a secured document in an offline environment, like a flight for example, a file can be made available for that situation. The file is given an offline access key that allows the document to be worked on.
